Facility Cape Fear Valley Medical Center Location Fayetteville, North Carolina Department Employee Assistance Program Job Family Clerical Work Shift Days (United States of America) Summary Performs office coordination, secretarial, clerical and general office duties. Receives visitors, answers and routes telephone calls. Provides information and referral services to callers and directing them to community agencies as appropriate. Major Job Functions The following is a summary of the major essential functions of this job. The incumbent may perform other duties, both major and minor, that are not mentioned below. In addition, specific functions may change from time to time: Composes and types general correspondence, reports, memoranda, and necessary forms. Maintains employee files and records in accordance with compliance requirements established by relevant government agencies. Maintains required reports and logs and ensure documents are up to date and ready for review by auditors/inspectors. Assists in maintaining employee education files and ensuring up staff are up-to-date on required certifications. Responsible for time keeping and payroll review and preparation for providers and nursing staff. Publish and distribute provider schedule and on-call calendars. Coordinate with providers to cover schedule gaps and ensure adequate coverage of the units. Assist with scheduling and meeting scheduling deadlines provided Assists in coordination of new employee onboarding, scheduling and training. Coordinates various correspondence with staff, providers and vendors. Responsible for preparing agendas, scheduling and taking, transcribing, and distributing minutes that accurately reflect the proceedings. Assists in scheduling meetings for providers and staff. Prepares and submits for approval and reimbursements for conferences, meetings, purchase requisitions and employee travel/education requests. Takes inventory of current supplies and places orders for necessary medical and non-medical supplies for the units. Prepare requested graphs and report data based on EPIC data reports. Assists in processing and preparing annual performance evaluation reports and audits. Distributes mail and faxes. Other duties as assigned Minimum Qualifications The following qualifications, or equivalents, are the minimum requirements necessary to perform the essential functions of this job: Education and Formal Training: High school graduate or equivalent required Associate Degree in relevant field preferred Work Experience: 2 years of office/admin experience required Healthcare experience is preferred Knowledge, Skills, and Abilities Required: Ability to perform administrative and clerical duties, including preparing correspondence and reports. Clerical expertise is necessary to proofread typewritten materials, to index and file correspondence, records and reports, and to organize daily work. Ability to compose minutes/letters using proper rules of grammar, spelling and punctuation. Ability to interact with in a tactful, diplomatic manner with hospital management, physicians, visitors, patients, and other staff, and outside organizations. Ability to demonstrate leadership qualities and organizational skills. Willing to work on a variety of activities and projects at the same time with good organizational skills. Possess and demonstrate strong written and verbal skills, be results-oriented, and exemplify a team player attitude. Requires knowledge of advanced computer applications i.e. Excel, Power Point, and Word Physical Requirements: Long periods of sitting, standing, reaching with arms, stooping, kneeling or crouching. Occasionally lift and/or move up to 15 pounds. Motor coordination and finger dexterity are required to operate a computer and type.
