Job Description: Position Purpose summary: The Volunteer Engagement Coordinator represents The Salvation Army in Prince Albert to the wider community through the volunteer program, community events, and external communications. Their primary responsibility is the oversight of Prince Albert’s volunteer program. They plan, direct, monitor and coordinate volunteers for multiple programs simultaneously within the community and family services, Emergency Disaster Services, and occasionally outreach and fundraising events. The position also coordinates Prince Albert’s public engagement through events and external communication, both virtually and in-person. Accountabilities: Volunteer Coordination: Serve as the first point of contact for all past, present, and future individual volunteers, group volunteers, and practicum students Develop, review, and maintain volunteer records, using a web-based database; ensures the confidentiality of client and volunteer information Maintain, update, and create all volunteer program documents, including applications, paperwork, and handbook In collaboration with Corps Officer(s), develop, promote, and facilitate a diverse portfolio of ongoing and event-based volunteer roles for individual & group volunteers Collaborate with managers and front-line staff to design new volunteer roles that are appropriate for volunteers and support the mission. Maintain and expand an ongoing volunteer recruitment program, including screening, interviewing, and selecting new applicants Coordinate the Criminal Record Review Program for volunteers; ensures all new volunteers are properly screened; ensures all long-term volunteers renew their clearances as required Provide general screening and orientation for all new individual volunteers, including mandatory training modules; collaborates with managers and front-line staff to provide role-specific orientation and training as needed Coordinate the schedules for all volunteer opportunities including, but not limited to: church/community ministry programs, food programs, Emergency Disaster Services, Christmas Kettle Campaign Plan Volunteer Appreciation functions and ensures volunteers are recognized throughout the year Maintain accurate statistics on the volunteer program; submits monthly SAMIS reports and other reporting as needed Maintain information in confidence as required Ensure program policies and procedures are accurate and up to date; monitors adherence to all policies and procedures which guide volunteer involvement Develop and implement a volunteer supervision training module for managers Coordinate and lead selected Ministry programs while ensuring the needs of the community and program are being met Support meal programs as needed Community Engagement: Coordinate the planning, content creation, and deployment of social media, and website Work with the Corps Officer(s) in the promotion and marketing of Prince Alberts programs within the community Perform other duties as assigned Health & Safety (if applicable) CRITICAL RELATIONSHIP MANAGEMENT Governance Boards and Councils: Internal:. Work with Corps Officers to develop and sustain volunteer opportunities External: Work with Funders, volunteers and the general public MANAGERIAL RESPONSIBILITY: Reports directly to the Corps Officer Periodically acts as a Team Lead and ensures adherence to quality standards for volunteers or temporary staff for special events/activities Provide input into hiring, recruiting, job-related training, and supervising volunteers FINANCIAL AND MATERIALS MANAGEMENT: Minimal material responsibilities Responsible for minor financial matters regularly May be authorized to handle small amounts of cash. Little input to annual budget with respect of their own scope of work. Working Conditions: The incumbent’s work environment is typically in an office or community services setting and may be exposed to or encounter hazards such as angry and/or abusive people, bodily fluids, bodily wastes, drugs, alcohol, and solvents, infectious diseases, sharp objects, and other dangerous situations Work requires lifting weighted objects typically up to 20lbs on occasion The above responsibilities must be discharged in accordance with The Salvation Army’s Mission Statement, in a professional manner, upholding our code of conduct. education, experience, AND Qualifications: Education, Qualifications and Certifications: Completion of a formal post-secondary/college program of one academic year in a related field. A diploma, or degree in volunteer management, non-profit management, or a related social services field would be considered an asset Successful completion of key National Disaster Training Program courses (Introduction to The Salvation Army Emergency Disaster Services, Foundations of Emotional & Spiritual Care, Disaster Food Service and Canteen Operations) or ability to complete within 3-6 months. Hold or be willing to train for a basic First Aid/CPR certificate Experience and Skilled Knowledge Requirements: Two years of previous experience coordinating volunteers, preferably in a social service setting, is an asset At least one year of previous experience with broader community engagement (such as events or communications) Skills and Capabilities: Demonstrated commitment to ongoing learning and professional development to stay informed about community engagement trends and the organization’s mission and objectives Intermediate to advanced proficiency in Microsoft Office suite and editing software Excellent oral and written communication skills, including strong conflict-resolution skills A satisfactory Criminal Record and Vulnerable Sector Check Current Driver’s License with driver’s abstract Proven ability to communicate & work effectively with a diverse population of staff, volunteers, and clients Strong administrative, time-management, and organization skills Attention to detail, problem solving and analytical skills Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility Ability and willingness to adhere to, support, and promote the mission, vision and values of TSA Compensation: The target hiring range for this position is $20.75 to $25.94 with a maximum of $31.13. Placement in the salary range will be based on factors such as market conditions, internal equity, and candidate experience, skills, and qualifications relevant to the role.
