Position Summary: Under the direction of the immediate supervisor, the Secretary provides comprehensive administrative and secretarial support to ensure the smooth operation of the Psychoeducational & Counselling Clinic and the Department of Educational & Counselling Psychology. Major Duties and Responsibilities: Welcome visitors, answer and direct calls or emails, take messages, and handle general questions about the Clinic and Department policies and procedures. Compose routine correspondence and communications as required. Schedule appointments and maintain the supervisor’s calendar. Maintain information in student, client, or department records, and create reports or lists using regular office software. Write, edit, and update documents such as emails, reports, grant proposals, forms, and department materials like handbooks, brochures, and web pages. Serve as a resource on office applications and promote best practices in data management. Fill out, verify, and file administrative forms related to Clinic and departmental affairs. Prepare meeting notes, announcements, and communications, and handle day-to-day admin tasks like purchases, expenses, travel claims, printing, equipment upkeep, and room bookings. Coordinate logistics for courses, seminars, conferences, and special events, including registration, appointment scheduling, and collection of fees. Coordinates the planning and logistical arrangements of unit events, ensuring all components are well-organized and completed on time. Maintain office supplies, order materials, and monitor equipment functionality. Perform general office tasks such as sorting, filing, photocopying, assembling, and distributing documents. Qualifications and Skills: Demonstrated experience in event planning and coordination. Prior relevant experience providing administrative support in an office or medical clinic environment. Demonstrated experience working in fast paced environment. Experience working with diverse internal and external clientele. Strong organizational and time-management skills with attention to detail. Excellent written and verbal communication skills. Strong capacity to work as part of a team and orientation toward contributing to collective agency and achievement. Proficiency in standard office software (e.g., Microsoft Office Suite). Familiarity and willingness to develop greater facility with Clinic specific software such as Time2Track and Owl Practice. Ability to manage multiple priorities, meet deadlines, and work independently. Strong interpersonal skills, professionalism, and discretion with confidential information. Experience coordinating meetings, events, or travel arrangements. Knowledge of French and English: McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
