This is a high level support role, undertaking many of the tasks set out here, supporting the Client Relationship Lead and acting as the single point of contact for our largest elite client and the lawyers across the services lines and offices who support that client. This is a great opportunity for a proactive and enthusiastic self-starter to evolve this role to achieve the role objectives which is to assist in the co-ordination of a consistent and high level of service delivery for the client. Key Responsibilities Client relationship management Supporting the Client Relationship Lead on a day-to-day basis to ensure effective communication across internal teams and excellent service delivery to the client. General client care: working to the client specific protocols and processes to become an active part in the care of clients; dealing with basic client queries as appropriate; updating the protocols and processes when necessary to ensure consistency of service delivery. Identifying efficiencies and ways to improve the service delivered to the client Client related calls: dealing with and handling messages, taking and making client related calls, responding to clients and providing information Business development: liaise with the Business Development team in relation to client and marketing activities; adding to and managing team relevant data in the business development databases. Central point of contact for non-legal queries for internal and external stakeholders Administrative/Client Work Responsible for managing priorities and workloads to ensure deadlines are met. File management: supervise general team filing requirements and record-keeping, to ensure that client care documentation and all compliance requirements are completed and up to date Document production: general document production when required (Word, Excel, Powerpoint): Data accuracy: responsible for the accuracy of client and internal data; Time recording if required for self or as a lawyer’s delegate Team admin: first support point of contact for the Aldi team; ensuring diaries are up-to date, anticipating requirements e.g. associated travel /accommodation bookings, meeting rooms, drafting itineraries, preparing and circulating papers Supporting with allocation of work across employment secondment team as necessary, monitoring allocation and when tasks have been completed to ensure a seamless service delivery to the client and ensuring adequate secondment cover due to holiday and training requirements as necessary. Responsible for the management and allocation of training programme including obtaining proposed dates for the training, allocating to a trainer, managing the diary, materials and links. Responsible for liaising with client relationship director in respect of all key client meetings. Administration of Power of Attorney documentation Liaising with Service line heads to collate feedback on service lines for client relationship meetings Responsibility for assisting with communications and initiatives aimed at achieving our objectives for this client across the wider firm Team/Compliance Arranging and attending team meetings, including minute taking when required Update status and tracking reports if necessary Ensuring compliance with and updating team policies and procedures and inputting into firm wide policies and procedures where necessary Your skills and qualifications Experience of working in a legal or professional services environment Advanced knowledge of Microsoft Office An aptitude for producing documents and client communications of the highest standard Advanced knowledge of document management/case management systems An effective communicator with the ability to establish and build client relationships; striving to provide exceptional service at all times Client service focused Proven experience of managing administration services and resources, with a hands-on, practical approach Conscientious, taking personal responsibility for own work and accountability for its delivery and quality Excellent team player, sharing in team goals to provide excellent quality and efficiency of service, with a willingness to take on new responsibilities and challenges Positive can-do attitude with the ability to adapt to change Confidential and discreet but able to redirect information when appropriate to ensure areas of concern are resolved effectively Well organised and methodical with excellent attention to detail, ensuring accuracy in all client communications and deliverables Smart.
