ROLE OVERVIEW Reporting to the Site Director, the Operations, Office & Event Associate at BioLabs Saclay, located in Gif-sur-Yvette, will be responsible for administrative management, non-lab operations and event organization at the Saclay site. Working closely with the BioLabs team, he/she will provide excellent service to our resident startups, while being critical and proactive in developing the BioLabs brand on the Saclay plateau. This is a temporary position (January 2026 to mid May) and a rare opportunity to support the development of promising young companies through your operational skills. RESPONSIBILITIES Manage the reception of on-site staff, the distribution of parcels, and the supply of the various services offered to residents (coffee, snacks, printers, etc.). Provide day-to-day operational support and problem-solving assistance to residents and the BioLabs team. Compose and layout various visual aids using the ADOBE suite (brochures, flyers for events, etc.). Organize, plan and budget site events, as well as BioLabs' participation in Plateau de Saclay community events (including sponsor-initiated events). Support the creation, coordination, and management of event content. On-site presence and management of potential incidents for all events. Management and updating of the site's databases and distribution lists. Implement, write and manage the site's newsletters and marketing campaigns (MailChimps). Oversee the welcome procedure for new residents and prepare monthly invoices (with the support of the site manager). Update of the BioLabs Saclay website (Wix.com). Prepare and post social media content related to the site, support communication on behalf of residents and sponsors. Supporting the development and organization of the Plateau de Saclay community. Other tasks assigned. QUALIFICATIONS Minimum bachelor's degree and at least 3 years of professional experience in the relevant fields. Demonstrated experience in managing day-to-day operations, event organization and customer service. Proven experience in graphic design and knowledge of the ADOBE suite. Successful experience in a dynamic and demanding work environment. Ability to learn new digital tools. Excellent oral, written and interpersonal communication skills. Knowledge of MICROSOFT OFFICE package (Excel, Outlook, Publisher, PowerPoint). English and French language skills. Ability to work independently. Must be able to lift up to 25 pounds and be able to stand for several hours at a time. Be available to attend occasional events outside opening hours. Able to travel to other BioLabs sites (in France and abroad).
