Job Summary: Company: Academy Music Group Department: Head Office Location: Brixton, London Reports to: Office Manager Working Hours: Full time 9am – 5pm Contract Type: Fixed term, expected duration initially 12 months Role Description The Office Administrator and Coordinator plays a key role in ensuring the smooth and efficient running of Academy Music Group Head Office. Working closely with the Office Manager, you’ll act as the main point of contact for staff, contractors, and visitors, maintaining a professional, well-organised and welcoming office and providing administrative and operational support to all areas of the business. Who you are Competencies / Skills / Knowledge / Experience Proven experience in reception and office administration. Excellent written and verbal communication. Customer service skills and experience. High proficiency in Microsoft Office, including Outlook, Word, Excel, SharePoint and general IT systems. Highly organised and able to manage multiple priorities, seeing tasks through to completion. Strong attention to detail, accuracy, and problem-solving ability. Proactive, reliable, and able to work independently while supporting wider teams. Good level of literacy and numeracy skills. Available to be in the office 5 days a week. What the role includes Main point of contact for permanent and visiting staff, contractors, greeting visitors in a friendly and professional manner and promptly informing the relevant people of their arrival. Manage office communications, including calls, emails, post and deliveries, ensuring timely distribution and responses. Oversee day-to-day office operations and being the first point of contact for office related matters including meeting room bookings, maintaining a clean, tidy and well-stocked office, coordinating cleaners and arranging for general maintenance of the office and equipment. Maintain and organise digital and physical filing systems and reports, including office access, updating and distributing monthly phone and email lists, internal guest ticket requests and complaints. Assist the Office Manager with administrative tasks such as circulating office comms, data entry, and other ad hoc duties when required. Assist the Office Manager with Health & Safety compliance, including conducting regular checks and fire alarm testing, maintaining records and coordinating employee inductions. Assist the Office Manager with staff travel and hotel bookings, courier bookings, purchases on company credit cards and business accounts and expense reconciliation. The role also entails regular engagement with a wide range of internal and external stakeholders.
