Job Details Job Location: Long COVID - Birmingham, AL 35209 MedHelp’s Chronic Illness Clinic focuses on Long COVID and related conditions using a blend of general and integrative medicine - including pharmaceuticals, nutraceuticals, and research-backed non-pharmacological therapies. We’re looking for a Medical Assistant who is excited to be deeply involved in patient care workflows, critical thinking, and behind-the-scenes coordination that truly impacts patient outcomes. In this role, you will be a key part of our Out-of-State Long COVID team, helping manage complex patients from all over the country. Position Overview In this role, you will primarily support one physician and one nurse practitioner, and report to a team lead. This is a front-line coordination and support position with a dedicated desk, fully in-office, Monday–Friday. This is not a typical MA job - you’ll be working with complex, interesting cases and will learn extensively about Long COVID, POTS, MCAS, venous disease, and other chronic illness patterns, including in patients who travel from out of state to receive care, as part of your daily work. Key Responsibilities Patient Scheduling & Coordination Schedule patients for one physician and one nurse practitioner Optimize schedules for follow-ups, procedures, and new patient visits Manage reschedules, cancellations, and waitlists as needed Provider Support & Portal Management Monitor and help respond to provider portal messages under the direction of the team lead and providers Make outgoing calls to patients regarding lab results, reminders, instructions, and follow-up plans Route messages appropriately and ensure timely, clear communication Clinical & Administrative Support Enter provider orders (labs, imaging, medications, therapies) accurately in the EMR (training provided) Assist with insurance-related tasks, including prior authorizations for medications, imaging, and treatments Support documentation and tracking of treatment plans and follow-up steps Help with various operational tasks that keep the clinic running smoothly Team-Based Care Collaborate closely with the physician, nurse practitioners, and team lead Work as part of the Out-of-State Long COVID team, coordinating care for patients across multiple states Participate in improving workflows and enhancing the patient experience in a growing chronic illness program Why This Role is Different You’ll work in a specialized Long COVID & chronic illness clinic, not a quick in-and-out primary care setting. You’ll be part of an out-of-state Long COVID program, helping coordinate care for patients who come to us from across the country. You’ll gain exposure to cutting-edge, research-informed approaches, including: Pharmaceuticals Nutraceuticals and supplements Adjunctive non-pharmacological therapies You’ll have a dedicated workspace and be an integral part of a small, focused, mission-driven team. What We’re Looking For Required: Previous experience as a Medical Assistant (MA) or strong healthcare administrative background Ability to draw labs and coordinate diagnostics (such as chest X-rays), or willingness to be trained Active MA certification, or willingness to obtain one Comfort with computers, EMRs, and learning new systems Strong phone, communication, and interpersonal skills Excellent attention to detail with reliable follow-through on tasks Professional, dependable presence in a Monday–Friday, 8:00–5:00, in-office role Preferred: Interest in integrative/functional medicine and chronic illness care Experience with prior authorizations, insurance processes, or order entry Familiarity with patient portals and managing high-volume patient messaging
