Fixed term 10-month contract Part time: 25 hours per week, Monday to Friday We have an exciting fixed term opportunity to join our finance team as a Travel Desk Coordinator, responsible for coordinating and travel arrangement for non-C-Suite employees, including booking flights, trains, taxis, parking and accommodation. You will also support leadership with venue searches and bookings for meetings and events, your scope will also at times extend to the C-Suite to support the Executive Assistants as required. You’ll require understanding of travel compliance and visa requirements for international trips. You’ll gain proficiency in booking systems and help improve processes by spotting gaps and recommending solutions. Additional responsibilities may include maintaining a central travel calendar, tracking expenses for reporting and budgeting, and liaising with vendors to secure corporate rates. This is a fixed-term part-time hybrid role with some office presence preferred; specific office working days will be agreed during the interview process. Closing date: 5pm on Wednesday 10th December 2025 Key Responsibilities: Booking airfare tickets, train tickets, taxis, parking, and hotels for non-C-suite employees. Liaising with colleagues across all our global locations. Assisting with venue searches for leadership meetings and booking venues and travel for all leaders. Monitoring travel disruptions (e.g., strikes, weather events) and proactively adjusting bookings. Supporting emergency travel changes and ensuring travellers have access to support when needed. Supporting Managing travel arrangements for the C-suite executives as required. Ensuring all travel arrangements comply with established travel policies and procedures. Logging and updating travel costs and bookings onto the master shared tracker. Checking and reconciling corporate credit card statements to ensure accuracy. Managing and advising on visa requirements for international travel, including documentation and timelines. Adapting quickly to new travel booking systems and technologies to support efficient travel coordination. Managing multiple tasks simultaneously while maintaining accuracy and composure in high-pressure situations. Adherence to company targets and KPIs. Regularly meet and discuss with your line manager to continuously improve your own performance and support your personal development. You may be required to carry out additional duties within your capability to meet the needs of the business Demonstrate a thorough understanding of DDC’s Values & Culture and collaborate with the team to ensure that everyone embodies these. Strong organisational skills to handle travel arrangements for several employees at once, each with different destinations, schedules, and preferences. Professional interpersonal abilities to correspond with senior members of The DDC Group and meet their high expectation. Attention to detail to ensure that travel dates, times and names are entered correctly. Ability to work independently and prioritize tasks effectively. Comfortable in collaborating and working as part of a team. Proactive and efficient individual with a passion for travel planning. Qualifications and Experience: Previous role in a customer service environment. Knowledge of visa requirements and travel compliance policies is advantageous. Past experience in travel booking or related field (a bonus but not a must). We will give you: Full-time equivalent salary is £27,000 per annum; pro rata for 25 hours per week is £13.85 per hour.
