About the job Location: London (5 days per week in the office) Reports to: Head of People Contract: Full-time, permanent Flatpay is a fast-growing fintech and now officially a unicorn, with ambitious plans for continued expansion. We believe in keeping things simple, for our customers and for our people. We are looking for a HR & Onboarding Advisor to join our team. This is a hands-on role focused on HR administration, onboarding, systems, and coordination. You will work closely with the Head of People to ensure a smooth, well-structured employee journey. What you'll do HR Administration & Employee Lifecycle Manage the full employee lifecycle in Personio, including onboarding, contractual changes and offboarding. Maintain accurate employee records and audit-ready personnel files in line with UK employment law. Draft offer letters, employment contracts, onboarding documents and standard HR correspondence. Carry out right-to-work checks, reference checks and ensure all compliance requirements are completed on time. Prepare monthly payroll updates and work closely with the Head of People and finance to ensure accurate and timely submissions. Help maintain and update HR policies, ensuring alignment with the UK Employee Handbook. Onboarding & Offboarding Work in partnership with the Workplace Operations Manager to coordinate all onboarding and offboarding activities. Prepare new starter documentation, equipment requests and access set-up, ensuring all operational steps are completed. Manage induction scheduling and ensure each new joiner has a clear, simple and consistent onboarding experience. Support offboarding tasks including communication, equipment return, system deactivation and documentation. People Support & Coordination Serve as a first point of contact for day-to-day HR queries, providing clear and simple guidance that reflects our policies. Support probation tracking, sickness monitoring and timekeeping compliance across the UK organisation. Coordinate with our external legal partner on employee relations cases by organising documents, notes and schedules (you will not lead ER cases). Support HR projects such as onboarding reviews, process improvements, training materials and policy updates. HR Systems, Data & Reporting Maintain data accuracy in Personio and ensure clean, compliant employee records. Assist with monthly reporting and people metrics for the Head of People. Support ongoing improvements to HR processes, ensuring everything remains simple, efficient and scalable. Who you are 1–2 years’ experience in HR administration, HR coordination or an equivalent HR support role. Studying towards CIPD Level 3 or Level 5, or already CIPD-qualified — highly beneficial. Good understanding of key UK employment law fundamentals (e.g. right-to-work, probation, absence rules, record-keeping). Experience supporting onboarding processes; confident using HRIS systems (Personio experience is a strong advantage). Excellent organisational skills with a high level of attention to detail.
