POSITION OVERVIEW Position: Executive Assistant (EA) to CEO/Co-founder Location: London Office (Holborn). In Office required, not a remote or hybrid position Schedule: Full time (Mon - Fri, 8 am to 4:30 pm) Salary: Highly Competitive, commensurate with experience (e.g., £40,000 £55,000+ per annum) PURESEOUL is the market-leading Korean cosmetic specialist in the UK, operating both thriving e-commerce and retail stores. We are seeking an exceptional and proactive Executive Assistant to serve as the key operational partner to our CEO/Co-founder. This role is pivotal in maximising the CEO's effectiveness, managing critical priorities, and ensuring the smooth operation of the executive office during a period of significant international growth. We require an EA who is a strategic gatekeeper, not just an administrator, and who shares a genuine passion for the Beauty industry. KEY RESPONSIBILITIES (Strategic and Operational Support) Strategic Gatekeeping & Priority Management: Proactively manage and protect the CEO's diary and time, ensuring their focus remains on strategic decision-making and core business objectives. Complex Travel Planning & Logistics: Independently manage detailed international and domestic travel arrangements (including flights, accommodation, visas, and detailed itineraries), often requiring organisation on short notice. Executive Communications: Act as the primary, professional liaison between the CEO and key internal teams, external partners, and stakeholders. Prepare, draft, and proofread high-level documents, reports, and correspondence. Meeting Management: Organise, prepare materials for, and attend high-level meetings. Accurately take and distribute minutes, and rigorously monitor and track action points to ensure accountability and deadlines are met across the management team. Project & Initiative Support: Provide research and insights to support strategic projects (e.g., new market entry, partnerships). Monitor task progress and provide clear performance updates to the CEO. Financial Administration: Accurately prepare, process, and reconcile the CEO's expenses, ensuring full compliance with company policies and best practice record-keeping. Confidentiality: Handle sensitive commercial and personal information with the utmost discretion and professionalism. Important Considerations Frequent Travel: Candidates must be flexible and willing to undertake regular international and domestic business travel (including occasional overnights) and regular travel between the Central London office and the West London warehouse. Team Collaboration: We are a dynamic, fast-paced team. While optional, a collaborative spirit and willingness to occasionally assist with wider company activities (e.g., supporting new store openings) is highly valued. WHO WE'RE LOOKING FOR (Essential Requirements) Experience: A minimum of 3+ years of demonstrable, recent experience supporting a C-level Executive (CEO, Managing Director, or Partner) within a fast-paced retail, e-commerce, or high-growth sector is essential. Industry Passion: A strong, existing knowledge and passion for the beauty industry. Communication: Exceptional written and verbal communication skills in English (UK standard). Logistics: Valid passport and a proactive approach to managing complex international logistics. Discretion: Impeccable attention to detail and a proven track record of maintaining confidentiality. Software Proficiency: Advanced proficiency in MS Office Suite (Word, Excel, PowerPoint) and cloud-based systems. Bonus Skill: Any level of spoken or written Korean is a significant advantage.
