SUMMARY The Event Specialist will be integral to the success of the Wasatch Adaptive Sports fundraising auctions at the Highly Decorated (December 13, 2025) and the Steve Young Ski Classic (March 28, 2026) events. This role oversees platform setup via GiveSmart, item presentation, and event-day execution. Through managing solicitations, donor recognition, and the bidding process from start to finish, the Event Specialist helps maximize fundraising outcomes and strengthen donor connections. You will join a team committed to creating access and belonging in the local community. The team creates access and belonging through their passion for skiing, biking, snowboarding, paddling, and more. WHAT YOU’LL DO Functions Prospect donors, cultivate relationships, and solicit approximately 400 auction items for the Highly Decorated (HD) and Steve Young Ski Classic (SYSC) events. Facilitate clear communication between WAS and donors for pick-up and organization of auction items. Track donor engagement, item reception, and item details. Create online item displays on the event auction websites (GiveSmart), including item prices, photos, descriptions, and any additional details. Categorize and organize auction items at WAS’s Murray office. Lead a team of WAS SYSC community engagement specialists, 1-3 people, to engage the community for silent auction donations. Oversee engagement specialist performance and accountability to meet the silent auction budget. Facilitate item display, teardown, and checkout on event days. Deliver tax reporting documents, receipts, and thank you letters to donors from the event. Areas of responsibility HD and SYSC database management. SYSC Solicitation Team management and accountability for solicitation calls. Auction item collection, cataloging, display, and distribution. Additional requirements Help direct visual displays and support onsite organization for the SYSC. Display creation may involve relocating outdoor gear, clothing, and art. Volunteer help will be available on the night of the event. WHAT YOU NEED TO GET THE JOB DONE Required 1-2 years of experience in events, sales or community outreach. Exceptional organizational skills and communication tracking. Excellent project management skills to facilitate timely communications and follow-up. Effective interpersonal skills to provide meaning to the donations. Keen attention to detail in all communications. Commitment to valuing diversity and contributing to an inclusive work environment. A passion for Wasatch Adaptive Sports’ mission and work. Preferred 1-2 years of experience in donation solicitation or phone sales. Experience in silent auction events. Experience in soliciting via phone calls and email. Experience with GiveSmart Software. Skills & Knowledge Proficiency in Excel, Google Sheets, Gmail, and Gmass. WORK SCHEDULE Preferred start date: November 3, 2025, with some flexibility. Flexible, but must be available to make calls during regular business hours (Monday to Friday, 9-5) Must be present on the days of the events (December 13, 2025, and March 22, 2026) and the week before and after to collect items and transport them to the event space at Snowbird and back to Murray. 1-28 hours per week, starting with fewer hours and building up as the events approach. Approximate monthly hours are as follows: November: Approximately 30-40 hours December: Approximately 30-40 hours January: Approximately 20-30 hours February: Approximately 50-70 hours March: Approximately 90-110 hours April: Approximately 10 hours WHY WORK HERE Ski pass and comp ticket benefits.
