As an integral unit within the wider External Relations and Communications directorate, the Philanthropy and Alumni Engagement team is the link between the University and our global alumni community of more than 190,000. It engages and builds connections with alumni through a variety of means including bespoke communications and events as well as providing alumni opportunities to get involved through volunteering. The team raises philanthropic funding for the University from alumni, friends and organisations and works in partnership with University leadership and colleagues across the institution to drive engagement, build and steward relationships and identify funding opportunities. We are seeking a detail-orientated and proactive individual to support the smooth running of our income processing and donor relations activities in addition to administering the departmental budget. The post-holder will provide exceptional customer service to donors through effective communications and donation management in Salesforce and other systems. Collaborating closely with Philanthropy and Alumni Engagement and other teams across the University, the post-holder will process, reconcile and allocate philanthropic income accurately as well as support departmental budgeting and reporting. They will take an active role in donor retention initiatives through thanking, sending pledge reminders, monitoring gift fulfilment rates and tracking any changes to giving patterns. The post-holder will also provide administrative support for fundraising and alumni engagement activities and ensure donor and alumni records are updated as appropriate. Flexibility, a collaborative mindset and an interest in philanthropy are essential. Specific duties include (but are not limited to): The post-holder will regularly communicate via email with a range of external stakeholders on donation or payment-specific issues. These stakeholders include senior alumni/ major donors, representatives of donors (i.e. solicitors), institutional donors and suppliers in a timely and appropriate manner to relay/explain information relating to gift administration, tax efficient giving, payments and other issues. Some of these stakeholders are based abroad so tone and clarity of language are essential; The post-holder will demonstrate confidence in financial administration, including monitoring payment schedules for Gift Aid claims and managing direct debit collections in compliance with HMRC requirements and financial regulations; The post-holder will have close working relationships with the Finance team and VC's office and will liaise with colleagues from across the university to ensure information is gathered to feedback to donors on their gifts; The post-holder will be proactive in finding efficiencies and process improvement opportunities, whilst also recognising data gaps and ensuring data quality by maintaining the accuracy of the database where possible. At times the post-holder may need to carry out data cleansing activities to correct data errors or contact donors for updated data if necessary; The post-holder will need to recognise and take appropriate action when regular donors cancel or amend giving patterns such as notifying the fundraising team with relevant information in a timely manner; The post-holder will monitor giving patterns of donors by running reports in Salesforce to recognise if/when donors amend or cancel donations; The post-holder will provide regular updates to the team on donation income and expected income including departmental spend to date and income to date; The post-holder will monitor and reconcile departmental spend against annual budget and present monthly to the budget holder as well as to the wider Philanthropy and Alumni Engagement Team - ensuring the team are compliant with financial processes; The post-holder will extract data from Salesforce and Workday to provide key financial/income/stakeholder data for the Head of Operations and Planning and the Alumni Engagement Manager to compile responses for external surveys; The post-holder will investigate any declined direct debit collections each month within Salesforce and take appropriate action with the donor or product team; The post-holder will gather anticipated/ future pledge donation income from Salesforce via the report functionality, sharing data with Finance across income categories, manipulating the summaries to highlight differences between type of gift/ income.
