Job Description: Job title: Contingent Labour Administrator Contract Type: Permanent Location: Salary: Between £30,000-37,000 Your new role Here at Hitachi Rail we have an opportunity for a Contingent Labour Administrator to join our HR Operations team. As a Contingent Labour Administrator, you will deliver end user support for our Contingent Labour systems as well as manage our administration within the supplier system (Fieldglass) and interface with finance and HR regarding timesheets and purchase orders etc. Other key responsibilities include: Support the HR Shared Services lead in defining process requirements, accountable for validation and documenting of functional process requirements for contingent workforce management in line with business efficiency and control requirements Ensures build and delivery of platform and service meets requirements and that acceptance and handover to business as usual are managed against agreed acceptance criteria and to a defined Supports the HR Shared Services Lead and Head of Talent Acquisition in working with the business, IT and other HR functions to design, plan and implement new solutions Documents policies, processes and procedures related to contingent labour working with Procurement, Lines of Business, HR, Finance/AP, IT and business teams globally Supports the Head of Talent Acquisition and the Procurement Category Manager with the agency suppliers and their use of contingent worker solution and any other Hitachi Rail requirements as applicable Provides training and support to agency suppliers and Hitachi Rail managers, as well as 3rd party workers on the processes and contingent worker solution Supports (as applicable) communications, training and change management activities to ensure successful implementation and adoption of the contingent worker solution Manages 'helpdesk', overseas categorisation, allocation and responds to user queries in a timely manner - escalating issues if appropriate and tracking to closure Administers invoicing processes to ensure prompt payment and invoicing resolved Supports the HR Shared Services Lead in working with stakeholders to identify any system enhancement priorities and implement any change requests adopted Takes a lead role for audit and controls relating to Fieldglass and ensures timely escalation of compliance risks About you Essential Experience of Workforce Management Solutions (preferably Fieldglass) Experience of business processes and flowcharts Support/helpdesk/trouble shooting experience Experience of change management Strong stakeholder management skills Good knowledge Microsoft Office packages Desirable Experience of Travel & Expenses systems Experience of planning, design, testing and implementation of Procurement solutions Experience of designing and writing regular management reports Strong stakeholder management skills Some experience of team management/ resource coordination What we offer We value the importance of all of our employees, if you would like to join our fantastic organisation you could be entitled to: Competitive salary Annual Performance bonus paid on discretionary basis. 25 days holiday Pension scheme with contributions up to 9% Private medical insurance Personal Accident insurance Group Income protection Group Life Insurance Employee Assistance Programme We also offer additional perks for you to choose from within a flexible plan that will meet your specific needs and lifestyle.
