Job Description Summary Under general supervision, provides moderately complex administrative support to the Calvert County faculty and staff and the Area Extension Director (AED), and has regular contact with the county government. Work requires knowledge of organisational policies and procedures, skill in performing moderately complex administrative and clerical support, and considerable participation in fiscal management. This person communicates with internal and external stakeholders; volunteers, Extension Advisory Council members, and county officials, and serves as the frontline contact to the office, exercising considerable discretion and judgement. Minimum Qualifications High School Diploma or GED AND 3 years experience providing administrative support. Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience. Additional Job Details Location: This position is located off-campus at the UME-Calvert County Office, 30 Duke Street, Prince Frederick, MD 20678 Responsibilities: Provide a high level of support to the Area Extension Director in the preparation of budgets and management of the county funding, anticipating supervisor’s course of action when absent, facilitating problem resolution, interpreting administrative decisions and policies to other staff, and transmit directions and instructions based on authority delegated by the AED. Acts as intermediary for supervisor, interacting with officials, staff at all levels and the public. Provide coordination of overall office operation and function, including but not limited to scheduling meeting spaces, procurement of office supplies and equipment, and communicating with the county for routine items related to office operation, maintenance, and repair and providing routine information to clientele and office team. Provide all financial related support including but not limited to paying invoices, purchasing, performing accounting procedures (using software applications), tracking expenditures and account balances for all funded accounts. Assists in preparing and administering department budget by updating accounts, and running periodic reports. Review requests and expenses for faculty and staff appropriated travel. Maintain paper and electronic filing systems to meet office needs and satisfy requirements for retention and information security. Prepare routine correspondence, forms and reports. Receive and read incoming correspondence and information. May provide guidance and instruction to other office support staff. Preferences: Knowledge in accounting and preparation of budgets. Two years’ experience in fiscal and budget management to include reviewing expenditures and reconciling accounts. Skill in various computer software, including Microsoft, Adobe, Google (Gmail, Drive, and Calendar) and Workday. Ability to proofread and edit written documents.
