No Job Description Summary Performs a variety of complex administrative tasks involving some discretion and requiring moderate amounts of independent judgment related to the oversight of the daily operations of the Physical Facilities Department. Reports to the Associate Vice President of Facilities Planning & Operations. Job Description Essential Duties: Monitors and reviews operations of unit; ensures smooth work flow; ensures work product meets professional standards. Serves as informational resource to staff; investigates and resolves problems or difficulties related to area of expertise. Assists University staff, faculty, and students; answers inquiries and provides information. Key team member in PFD timekeeping, corrections and communications for accurate completion within defined payroll deadlines. Gathers and analyzes statistical information regarding departmental programs and activities; produces reports. Accesses PFD leadership calendars, collaboratively communicates and provides input to calendar scheduling. May assist in the performance of various financial and budgetary tasks including preparing and monitoring budgets, preparing fiscal reports, or processing payments; may maintain inventory of supplies. Key team member in position control and standardization of requests in employee resource planning software with guidance of PFD leadership. Oversees staff; assists in the enforcement of policies and procedures; establishes schedules and reviews performance. Minimum Qualifications: Requires nine months of coursework or training beyond high school in Business Administration and three years of related experience, or an equivalent combination of education and expertise Required Knowledge, Skills and Abilities Knowledge of facilities operations, policies and procedures; ability to update policies and procedures under the direction of PFD leadership. Knowledge of computer and office applications. Ability to promptly achieve proficiency with Employee Resource Planning and Computerized Maintenance Management software tools. Acumen in creating and disseminating department correspondence.
