Who We Are
Contact Care is an approved HSE homecare provider delivering high-quality services to older persons and young adults across Ireland. Due to our ongoing growth, we are seeking a dedicated Roster Administrator to join our office-based team in Dublin 18.
The Role
Reporting directly to the Clinical Service Manager and the Client Care Director, you will act as a central hub—liaising closely with Care Supervisors, HR, Recruitment, and external HSE contact points to ensure seamless service delivery.
Key Responsibilities
1. Roster Co-ordination & Service Delivery

Referral Management: Process and allocate both private and HSE-funded client referrals.

Scheduling: Assign appropriate care workers to clients, ensuring optimal scheduling for clients, carers, and the business.

Roster Maintenance: Process daily changes, amendments, and updates to schedules promptly.

Coverage & Contingency: Secure adequate cover for staff sickness, absenteeism, and annual leave.

Distribution: Generate and distribute care worker rotas on a monthly basis.
2. Workforce & Administration

Recruitment Pipeline: Work with HR to forecast and pre-empt future staffing needs.

Compliance Reporting: Prepare internal reports and update required HSE Key Performance Indicators (KPIs).

HSE Liaison: Act as a reliable point of contact for Community Health Organisations (CHOs), ensuring prompt responses within agreed timelines.

Data Integrity: Maintain an accurate, up-to-date client database.
3. Rotational On-Call (Time Off in Lieu Provided)

On-Call Duties: Handle emergency out-of-hours calls (such as carer sickness or cancellations) and adjust the roster accordingly on a shared rotational basis.

Handover: Provide a brief report on Monday morning summarizing any changes or occurrences.

Requirements: Skills & Experience

Education: QQI Level 6 Major Award in Advanced Business Management, Office Administration, or a related field is highly desirable.

Work Authorization: Legal right to work full-time in Ireland.

Experience: Minimum of 1 year in scheduling, rostering, or high-volume administration (healthcare sector experience is an advantage).

Tech-Savvy: Proficient in MS Office suite and scheduling/CRM software.

Communication: Strong interpersonal skills with fluent English and an empathetic telephone manner.
