YOUR ROLE AND RESPONSABILITIES: Within the Group, you will join the Group Legal department: a small team made up of highly qualified lawyers, many of whom have international backgrounds. The Group General Counsel heads the team and is a member of the AXA Executive Committee and the AXA SA Board. This role is based in Paris.Within this Department, you will report to the Head of Corporate Finance team and you will also work with the Chief of Staff. You will manage the activities of the Head of Corporate Finance and their team and the Chief of Staff including: Manage agendas daily and arrange meetings and events as required. Perform multifaceted general office support (NitroSign, time-off, IT support, purchases, professional expenses, Prepare PowerPoint presentations and word Manage processes including approvals in tools like Saturne, Concur, Pleiades, Silva, Coupa and complete these internal tools on behalf of your managers. Arrange all travels in line with AXA Group policies including booking flights, managing expenses, and preparing necessary travel documents. Manage budget: check each bill, register the bill in COUPA, save it in the relevant folder, report it in a dedicated Excel file, reconcile the bill with the allocated budget, monthly meeting with finance team along with the other assistants and the Chief of Staff. Handle sensitive and confidential information, maintaining strict confidentiality at all times. Manage archiving/destroying confidential communication when necessary Manage engagement documents with external legal firms and with “Notaires: Manage requests for updated AXA corporate documentation, and translation, notarization, “apostille” and certification requests, often on an urgent basis. Responsible for managing relationships with other PAs and teams, facilitating effective communication and maintaining positive working relationships. Replacement of other PA colleagues in case of absence. Key contact for procurement and compliance Exercise discretion and professionalism in all matters, respecting privacy and the trust placed in you. YOUR PROFILE Technical And Professional Skills Fluent French and English (written and oral) Excellent time management skills and ability to multi-task and prioritize work Strong organizational and planning skills Proficiency in MS Pack Office Word, Excel, PowerPoint, Outlook. Strong ability to be concise and clear in note writing. Ability to analyze information and understand information as it relates to ongoing work/team projects.
