About the role 

DMCL Chartered Professional Accountants is seeking an Administrative Assistant to join our Surrey office on a 6-month contract with potential opportunity for extension. The ideal candidate will bring strong organizational skills, exceptional communication abilities, and a proactive, service-oriented mindset. As an Administrative Assistant, you will support our Partners and team members while serving as a key point of contact for administrative and client support matters. Your role will be essential in ensuring the smooth operation of a dynamic and fast-paced practice. 

Our Administration team is made up of Office Managers, Receptionists, Executive Assistants and Administrative Assistants who work diligently to support our people and keep our offices running smoothly. Whether in-person or over the phone, our clients rely on this team to connect them with the people and resources they need to achieve and exceed their business goals. 

How you’ll make a difference 

Provide administrative support to Partners and practice management teams; 
Primary contact for clients;  
Manage client communication and correspondence (answer and direct calls, send correspondence, meet and greet clients in an efficient, professional, and friendly manner);  
Responsible for incoming/outgoing mail and deliveries;  
Manage accounts receivable, deposits and data entry;  
Assist with client billings, invoicing and follow-up notifications for collections 
Compile client financial packages and support lock-down and electronic filing of files 
Coordinate and collaborate with staff and Partners to ensure administrative requirements are completed accurately and efficiently 
Support general administrative duties including document preparation, scanning, filing, organizing paperwork, scheduling meetings, and assisting on projects as needed 

Who you are 

You are an individual with 1–2 years of administrative experience, ideally within a professional services environment, or have completed an office administration certificate or equivalent. 

Beyond your experience, you bring a positive attitude, strong attention to detail, and a natural ability to keep things moving forward. You enjoy supporting others, take pride in producing high-quality work, and thrive in a role where you can be relied upon for your professionalism and client-service focus. 

Skills & Abilities

Highly detail-oriented with superior organizational skills 
Excellent written and verbal communication skills 
Self-motivated and results-oriented, demonstrating initiative and maturity under pressure 
Strong interpersonal skills with a focus on client service and professionalism 
Ability to develop positive rapport and communicate clearly with clients 
Ability to work in a confidential environment and handle sensitive information with complete discretion 
Ability to prioritize and manage multiple tasks and deadlines 
Flexibility to work overtime as needed 
Proficiency in Microsoft Outlook, Word, Excel and Adobe Acrobat
